Job Description
The role of the Accounting Administrative Assistant is to perform all the tasks related to accounting in addition to providing administrative support. Under the supervision of the Executive Assistant and Director of Human Resources, then the Chief Finance Officer and General Secretary, the incumbent will:
- Welcome visitors and answer phone calls;
- Receive, sort and distribute mail and post;
- Maintain inventory of supplies and place necessary orders;
- Maintain common areas (kitchens, conference rooms, etc.) clean and well-stocked;
- Review, translate, update and create various bilingual documents.
- Send communications by email ;
- Enter invoices and direct them to authorized signatory for approval
- Import and post approved invoices in Sage300
- Create aged payables reports and payment batches for approval
- Enter payments in online banking platforms and send for approval with supporting documentation
- Print checks and provide supporting documentation for signature
- Record payments and various types of transactions in Sage300
- Create vendors and customers in Sage300
- Treasury: money transfers in Loop bank accounts, manage funds in various accounts as per directions
- Process currency conversion transactions
- Perform monthly bank reconciliations
- Record deposits and payments received from customers in Sage300
- Verify statement of accounts sent by vendors
- Communicate with vendors to answer questions, respond to requests or address various issues
- Prepare Sales Tax reports and file them on Revenu Quebec website (quarterly)
- Prepare credit card expense reconciliation report
- Assist with audit requests
- Create and maintain vendor files and filing of documents
- Perform any other related tasks.
Experience required:
- Excellent oral and written proficiency in French and English*
- Advanced level of English is essential for the performance of the duties and responsibilities of the position with respect to effective internal and external communication and documentation requirements.
- Maitrise de la suite Office (Outlook, Word et Excel).
